This Privacy Policy describes how Miles Management Corp, an Illinois corporation with its principal place of business in Chicago, Illinois ("Miles Management," "we," "us," or "our") collects, uses, shares, and protects personal information in connection with the Miles Management resident payment portal (the "Portal"), our marketing website, and our property management services (collectively, the "Services").
By using the Services, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Portal.
1. Information We Collect
We collect the following categories of personal information:
- Identity information — your name, and, if you provide it, a photograph or other identifying details you include in communications with us.
- Contact information — email address, phone number, and mailing address.
- Lease and tenancy information — the property and unit you occupy, lease dates, rent amount and your share of it, co-occupant and co-payer relationships, ledger and balance history, late fees, and documents related to your tenancy (including leases, amendments, notices, and disclosures, and any electronic signatures you apply to them).
- Payment and bank-link information — payment amounts, dates, statuses, and payment schedules you configure; the name of your bank and the last four digits of your linked account; and records of your ACH debit authorizations (including the date, time, IP address, and text version of each authorization).
- Maintenance information — maintenance requests you submit, including descriptions and photographs you upload.
- Device and log information — IP address, browser type and user agent, access times, pages viewed, and actions taken in the Portal (for example, viewing or downloading a document), collected automatically when you use the Portal.
2. Bank Credentials Are Never Stored by Miles Management
When you link a bank account, you do so through Stripe Financial Connections, operated by Stripe, Inc. ("Stripe"), our payment processor. Your online banking credentials, full account number, and routing number are provided directly to Stripe and are never transmitted to, stored by, or accessible to Miles Management Corp. We receive and store only the name of your bank, the last four digits of your account number, a Stripe-issued token that allows us to initiate the payments you authorize, and verification status. Stripe's handling of your information is governed by Stripe's own privacy policy, available at stripe.com/privacy.
3. How We Use Personal Information
We use personal information for the following purposes:
- Rent collection and payment processing — to initiate the ACH debits you authorize, apply payments to your ledger, send payment confirmations, reminders, and failure notices, and maintain accurate accounting records.
- Lease administration — to manage your lease, occupancy, and rent-split arrangements; to deliver, request signatures on, and maintain lease documents; and to communicate with you about your tenancy.
- Maintenance — to receive, track, schedule, and resolve maintenance requests.
- Safety and security — to authenticate users, protect against fraud and unauthorized access, audit access to documents and records, and maintain tamper-evident records of electronic signatures.
- Legal compliance — to comply with applicable federal, state, and local law, including tax, accounting, landlord-tenant, and payment-network (NACHA) requirements, and to establish, exercise, or defend legal claims.
4. How We Share Personal Information
We do not sell personal information. We share personal information only with:
- Stripe, Inc. — our payment processor, to link your bank account, verify it, and process the ACH payments you authorize.
- Email service providers — to deliver transactional emails such as invitations, payment notices, maintenance updates, and signature requests.
- Hosting and infrastructure providers — who store and process data on our behalf under contractual confidentiality obligations.
- Professional advisors — our attorneys, accountants, and auditors, where reasonably necessary.
- Law enforcement, courts, and regulators — when required by law, subpoena, or court order, or where disclosure is reasonably necessary to protect the rights, property, or safety of Miles Management, our residents, or others.
- Successors — in connection with a merger, acquisition, financing, or sale of all or part of our business or properties, subject to this Privacy Policy.
5. Retention
We retain personal information for as long as reasonably necessary for the purposes described above. In general: lease documents, executed signature records, ledger and payment records, and ACH authorization records are retained for the duration of your tenancy and for the period required by applicable statutes of limitation and tax and accounting requirements (typically seven years after tenancy ends); maintenance records are retained for the duration of your tenancy plus applicable limitation periods; and access logs are retained for a reasonable audit window. We may retain information longer where required by law or a legal hold.
6. Security
We use administrative, technical, and physical safeguards designed to protect personal information, including: encryption of data in transit (TLS); encryption at rest of sensitive fields such as phone numbers; hashed passwords using a modern memory-hard algorithm; role-based access controls so that residents can access only their own records; access-controlled file storage (documents and photos are never served from a public directory); audit logging of administrative actions and document access; and payment processing designed so that Miles Management never possesses your bank credentials. No security program is perfect; we cannot guarantee absolute security.
7. Your Rights and Choices
You may access and update your contact information in the Portal or by contacting us. You may request a copy of the personal information we hold about you, request correction of inaccurate information, or request deletion of information we are not required to retain, by emailing privacy@milesmgt.com or writing to Miles Management Corp, Attn: Legal, [Street Address], Chicago, Illinois [ZIP]. We will respond within a reasonable time and verify your identity before acting on a request. Note that we must retain certain records (for example, payment ledgers, executed lease documents, and ACH authorizations) for legal, accounting, and dispute-resolution purposes even after a deletion request or the end of your tenancy.
You may revoke an ACH debit authorization at any time as described in the ACH Authorization Agreement. You may withdraw your consent to electronic records and signatures as described in the E-Sign Consent Disclosure.
8. Illinois Residents
Miles Management Corp does not sell, rent, or trade personal information about Illinois residents to any third party for monetary or other valuable consideration, and has not done so. We do not use personal information for cross-context behavioral advertising. If Illinois enacts comprehensive consumer privacy legislation applicable to us, we will update this Privacy Policy to describe the rights it provides.
Biometric information: the Portal does not collect biometric identifiers or biometric information as defined by the Illinois Biometric Information Privacy Act (BIPA). A drawn or typed electronic signature image is not used to identify you biometrically.
9. Children
The Portal is intended for adults who are parties to, or authorized occupants under, a lease with Miles Management. We do not knowingly collect personal information from children under 13.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we make a material change, we will post the updated policy in the Portal and on our website, update the effective date, and require you to acknowledge the updated policy the next time you use the Portal.
